Case export: limits and large cases

For large cases, it helps to know the limits of a case export. That way you can plan big exports from the start so they're created reliably and quickly.

Maximum number per export

A case export can contain a maximum of 1,800 documents. There's also a second limit that counts documents and headings together: an export can hold at most 2,000 entries in total. If you structure a large export with many custom headings, you can reach the 2,000-entry limit even while you're still under 1,800 documents.

If you go over either limit, amaise shows a clear message instead of failing silently:

  • Too many documents: "Your export has too many documents. The limit is 1800 — please split it into smaller exports." While you're building the export, amaise also shows how many documents it currently holds compared with the maximum.

  • Too many entries: "Your export has too many entries (documents and headings combined). The maximum is 2000 — please split it into smaller exports or remove some headings."

To stay under the limits, split the case into smaller, themed exports — or remove some custom headings if it's the entries limit you've hit.

Recommended size

For the best preview performance, we recommend case exports with fewer than around 500 documents. Smaller exports are created faster and are smoother to page through.

Splitting large cases

If your case is significantly larger, split it into several themed case exports — for example by document type, time period, or procedural step. To learn how to split large PDF documents beforehand, see the article Case overview: split large PDFs.

Preview wait time

The wait time depends on the size of the export. As a guideline:

  • under 60 seconds for fewer than 100 pages

  • under 3 minutes for around 500 pages

  • up to 10 minutes for around 2,000 pages

You can switch to another browser tab while the preview is being calculated — the export keeps being created. When it's ready, amaise marks the tab title with ✓ Preview ready and shows a green Preview ready note. If a preview hasn't appeared after about 20 minutes, amaise stops waiting and shows an error — create a smaller export and try again.
