Settings: Managing export templates

Create and maintain export templates for your workspace — under "Settings" → "Features".

Written by amaise Support

Export templates define how an export is structured — table of contents, title, numbering, sorting and more. As an administrator you manage them under "Settings" → "Features" (permission "TENANT__U_CONFIG"). Users then pick the finished templates when they export.

Creating or editing a template

In the template editor you set, among other things:

  • table of contents, title, subtitle and reference prefixes,

  • the pagination settings "Page numbers" and "Paginate pages according to Art. 8 ATSV", plus the receipt date,

  • the company logo,

  • the sorting and the grouping by labels,

  • a file name template,

  • email subject and BCC for sending,

  • the language as well as predefined and excluded labels.

Every template needs a unique title. The last remaining template cannot be deleted — a workspace always has at least one.

Note: "Paginate pages according to Art. 8 ATSV" turns on fixed pagination, which implements the Swiss Art. 8 ATSV format. In workspaces the amaise team has set up for it, it's already switched on in the matching templates. Only switch it on in templates whose exports need this format: every export created with it locks its documents, and if the template sits at the top, every new export starts with the switch on (see Exports: Create and share exports). For questions about the setup, contact support.

Changing the template order

The order in this list is the order all users see when they export. Every new export starts from the topmost template: its settings are already in place the moment the export is created. Users can still pick any other one — so move the template that gets used most to the top.

  1. To the left of each template you see the drag handle with the hint "Drag to reorder".

  2. Drag the template to the position you want.

  3. The new order is saved immediately and applies to all users from that moment on.

Note: The drag handle only appears with the "TENANT__U_CONFIG" permission and from two templates upwards — with a single template there is nothing to reorder.

Note: Selecting a template when exporting is described in the article Exports: Create and share exports. This article covers creating the templates.
