Document study: Document list

Case documents categorized by type, with search and filter options.

Written by amaise Support

The document list is the central element in the document study — you find it in the panel labelled "Document storage" in the app. It shows all documents of a case and offers various ways to navigate and organize. Alongside the document list, you have the CasePilot (AI chat for the entire case) and the DocPilot (AI chat for the selected document) as complementary panels.

View modes

Open the "..." menu above the document list and choose Document list view to switch between:

  • Standard — the card view with document details

  • Minimal — compact list with fewer details

  • Preview — preview images of the first page of each document

  • Summary — shows the AI-generated summary directly in the list (when summaries are enabled in your workspace)

In the same menu, Visible document data controls which details the cards show.

Structure of the document list

Depending on the view mode, each document in the list shows at a glance:

  • Document type — icon and color indicate the classification

  • Title — the recognized or assigned document title

  • Document date — when the document is dated

  • Receipt date — when the document was received

  • Page count — how many pages the document has

  • Issuer — who issued the document

  • Summary — an AI-generated short summary of the content (depending on view mode)

Dossier and document type chips

Depending on the selected view mode and your settings, chips for the related dossier and document type may appear under a document. You can use these chips to quickly filter for similar documents.

A document may additionally carry the orange «Match in duplicate» marker when it appears in the list only via a hidden duplicate. More on this in the article on duplicate detection.

Read/unread status

image

Each uploaded document is marked as unread by default. The read status is shown by the small circle to the left of the document title:

  • Filled, blue — the document is unread

  • Filled, black — the document is partially read (opened, but not every page yet)

  • Outlined — the document has been fully read

Click the circle to mark a document as read or unread (or press r). The Unread filter in the More section of the filter sidebar restricts the list to unread documents — and offers "Mark all as read" with one click.

Open document

Click a document in the list to open it in the PDF viewer. The selected document is highlighted in the list. At the bottom of the list, an "End of list — back to first document" bar takes you straight back to the top — handy after you've paged through to the end.

Actions per document

image

Three-dot menu

Through the context menu (three-dot menu) of a document, you have the following options. Change document type and Customize labels come first; below them, under the "Solve issues" heading, come the other corrections. You see these actions only if your role may edit documents; Copy link is available to everyone.

  • Change document type — adjust the document’s classification

  • Customize labels — add or remove labels (this entry only appears when the case already has labels)

  • Add missing document data — shows the issuer details (name, company, department, position, specialty title) and recipient details (name, company) that are still empty for the document. You fill in the one you pick right in the document list. The entry only appears while one of these details is missing. You edit the title, the document date and details that are already filled in by double-clicking the field in the document list.

  • Connect to previous document — merge the document with the one above

  • Mark duplicates of this document — identify identical documents in the case

  • Show source file — view the originally uploaded file

  • Copy link — puts a link to exactly this document on your clipboard. Use it when you want to pass on a single document: your browser's address bar names only the case, not the document you are reading.

Hover actions

When you hover over a document row, additional actions appear:

  • Mark as important document (star icon) — mark or unmark the document as important

  • Move to trash (trash icon) — move the document to the trash. A document deleted this way can be restored anytime; it stays in the trash permanently and is not removed automatically. When a document can no longer be restored is explained in the article Document study: Organizing documents.

Reporting a wrong result

If amaise classified a document wrongly, or a document or an important finding is missing, tell us. Our team reviews every report.

  1. Open the support chat with the question mark "Help" at the top right and choose "Report a problem" — or just write to us in the chat.

  2. Give us the case reference (as shown in the cases overview), the affected document — easiest with "Copy link" in the document's three-dot menu — and what you would have expected, for example "this document is a medical report, not an invoice".

  3. We confirm receipt in the chat, review the case and get back to you. There is no need to send an email.

In the meantime you can fix a wrong document type yourself with Change document type in the three-dot menu (see "Actions per document"), provided your role may edit documents. To fix a wrong dossier, follow the section "Dossiers" in Document study: Organizing documents. More answers are in Document study: Frequently asked questions.

Sort documents

image

The sort icon is located in the chip row above the document list — at the far right next to the filter chips. The current sort criterion is shown as a tooltip when you hover over it.

Clicking the icon opens a menu with all available sorting options:

Option

Description

Document date (oldest first)

Sorts by the document’s date, oldest documents first

Document date (newest first)

Sorts by the document’s date, newest documents first

Receipt date (oldest first)

Sorts by the date the document was received, oldest first

Receipt date (newest first)

Sorts by the date the document was received, newest first

Original order (as in the source file)

Keeps the order in which the documents appeared in the uploaded files

Title A-Z

Alphabetically ascending by document title

Title Z-A

Alphabetically descending by document title

If your workspace shows titles from a connected source system, the title options sort by whichever title variant you have chosen to display.

Document date vs. receipt date

When sorting by date, two different date values are available:

  • Document date — the date shown on the document itself, i.e., when it was issued or created. This date is recognized by AI from the document content.

  • Receipt date — the date the document was received in the case, i.e., when the source file was uploaded.

The selected sorting is saved automatically and restored on your next visit.

Keyboard shortcuts

You can work the document list entirely from the keyboard:

  • ↑ / ↓ — Previous / next document

  • Shift + ↑ / Shift + ↓ — Previous / next unread document

  • r — Mark as read / unread

  • Shift + R — Mark all as read

  • w — Mark as important

  • u — Show only unread

  • s — Open the sort menu

  • t — Jump into the document-type list

  • x — Clear all filters

Tip: see the full list and the shortcuts for other views in the article Personal settings: Keyboard shortcuts.
