Document study: filter and select documents

In the document study, the filter sidebar helps you narrow the document list down to exactly the documents you need. Open and close it with the sidebar button above the document list. All filters can be combined, and every active filter appears as a chip above the list.

Active documents and trash

At the top of the sidebar you switch between Active documents and the Trash. This is a view switch, not a filter: the trash shows deleted documents, and resetting your filters never moves you out of the view you are in.

Tip: You can drag a document from the list onto the trash button to delete it — and drag it back onto Active to restore it.

Filter by dossier

The Dossiers section reflects the case structure:

  • Click a dossier to show only its documents

  • Each dossier shows how many of its documents match your current filters

  • Hold Ctrl (Windows) or Cmd (Mac) while clicking to combine several dossiers

  • Use the magnifying glass in the section header to search dossiers, or the eye icon to also show empty ones

Filter by document type

The Document types section lists all recognized types as a hierarchy:

  • Click a document type to filter by it — parent categories (e.g., "Medical") group all their subtypes

  • Hold Ctrl or Cmd while clicking to combine several types

  • Use the search and the eye icon in the section header to find rarely used types

  • Prefer the keyboard? Press t to jump into the list, move with the arrow keys, expand and collapse with → and ←, and toggle a type with Enter

Find your highlights and comments

The Annotations section collects every document that carries an annotation — your own and those of your colleagues:

  • One chip per annotation type present in the case, shown in the annotation's own color: the highlight colors, strikethrough, and comment

  • Click a chip to show only the documents carrying that annotation type; hold Ctrl or Cmd to combine several types

  • Any annotation shows every document with at least one annotation — the quickest way to review all your highlighted passages in one place

  • Document cards mirror this with small annotation badges: click a badge to see the annotations and jump straight to the passage in the document

The section appears as soon as the case contains at least one annotated document. When you switch to another view, the annotation filter is cleared.

Filter by labels

The Labels section lists the labels used in this case:

  • Click a label to filter by it; hold Ctrl or Cmd to combine several

  • Create a new label with the + button in the section header

  • Drag a document from the list onto a label to assign it

Your favorites live here too: starring a document (the star on the document card, or w on the keyboard) files it under your personal "Important: {your name}" label — click that label to see all your important documents at once.

Filter by date range

The Date range section narrows the list to a period:

  • Drag the handles on the histogram to set the range

  • Choose whether the range applies to the document date or the receipt date

  • Optionally hide documents without a date

More filters

The More section holds additional filters, each showing how many documents match:

  • Authors opens the sender/recipient panel, where you filter by author, author's institution, recipient, or recipient's institution

  • New — documents added since your last visit to the case

  • Unread — documents you haven't opened yet, with a one-click "Mark all as read" button

  • Poor quality — documents with poor scan quality

  • With duplicates — documents that have detected duplicates

  • When you open a document list from a CasePilot answer, a "Documents referenced by CasePilot" entry appears here — remove it to see the full list again

Filter by source file

Sometimes you're not looking for a single document but for all documents from the same source file:

  • From the search bar — type the source file's name; the search also matches documents by their source file

  • From the file manager — search there by file name or ID and choose "Show documents in document list" on the source file

Combine filters

All filters can be combined. Every active filter appears as a chip above the document list:

  • Click a chip to jump to its section in the sidebar — it opens and is briefly highlighted

  • Click the X on a chip to remove that filter

  • Reset all in the sidebar clears everything at once (keyboard: x)

Note: If a filter matches only a document that's hidden as a duplicate behind another one, the corresponding original document appears with a "Match in duplicate" marker. This keeps a hidden document findable — see the article Document study: Duplicate Detection for more.

Select documents

To select documents, first activate selection mode:

  1. Click the "..." menu above the document list

  2. Choose "Select documents"

  3. Checkboxes appear next to each document — select the desired documents individually

In selection mode, you can then apply actions to the selected documents (e.g., export).
