amaise automatically organizes the documents in your case. Here’s how the different organization systems work.
Dossiers
The case dossiers display different copies of the documents. Your own dossier and the dossier of a third-party insurer for the same case may be shown in separate case dossiers.
Own files — Documents that belong to your own insurance records
Third-party files — Documents from third parties or other insurers
Recognized by amaise — The AI automatically assigns the file to a dossier
You can change the dossier when uploading or later by moving documents to another dossier.
💡 The dossier assignment determines in which file structure the document is displayed. A document always belongs to exactly one dossier.
Document types
Documents are automatically classified and shown in a hierarchical tree for quick and easy navigation.
Automatic classification — amaise recognizes the document type (e.g., medical report, correspondence, invoice) automatically
Hierarchical structure — Document types are grouped into categories (e.g., Medical, Administrative, Correspondence)
Count per type — The number of documents for each type is shown next to it
Click a document type in the sidebar to show only documents of that type.
Duplicates
amaise automatically detects duplicates within a case. Detected duplicates are hidden and linked to the original document. You can show the hidden duplicates via the With duplicates entry in the sidebar.
Detected duplicates — Documents where amaise found a high match with another document. They are automatically hidden and attached to the original.
Possible duplicates — Candidates where amaise sees some similarity but you still need to review them.
Mark a document as duplicate manually
You can also mark documents as duplicates yourself:
Click the three-dot menu to the right of the document.
Select Mark duplicates of this document.
Select all documents you recognize as duplicates.
Confirm your selection at the top of the document list.
Review duplicates
Open a document with detected or possible duplicates to see the Detected duplicates and Possible duplicates tabs. In the review, you can:
Compare original and duplicate side by side
Remove the duplicate status if it is not a true duplicate
Reassign the original document if the wrong one was marked as original
Hover over a duplicate entry to see three options:
Mark as original — The duplicate becomes the new original document.
Compare — Opens the comparison view between original and duplicate.
Not a duplicate — Removes the duplicate marking if it’s not a true duplicate.
The comparison view highlights all detected differences in color, so you can quickly decide if it’s really a duplicate.
Manual labels
Create your own labels to group or mark documents individually:
Create labels — Click the plus icon in the labels area of the sidebar. This requires the appropriate permission — not all users can create labels.
Assign labels — Drag and drop a document onto a label in the sidebar, or use the labels menu in the document row.
Filter by labels — Click a label in the sidebar to show only labeled documents.
Other users’ personal favorites are also shown in the label overview.
Trash bin
Deleted documents are moved to the trash bin and can be restored from there:
Delete document — Via the context menu of a document or by drag-and-drop onto the trash bin in the sidebar
Show trash bin — Click the trash bin entry in the sidebar
Restore — Deleted documents can be restored from the trash bin
