When uploading your documents to amaise, the system automatically searches for duplicates. This can occur, for example, with longer PDF files that already contain a summary of your case. Detected duplicates are hidden behind the original document so your document list stays lean — nothing is deleted, and every duplicate remains reviewable at any time.
Where can I find the duplicates?
If you want to view all documents for which at least one duplicate has been detected, open the filter sidebar of the document list and enable the "With duplicates" toggle in the "More" section.
How do I check if it's actually a duplicate?
A document with detected duplicates carries a small badge with the duplicate icon and the number of duplicates. Click it to open the "Duplicates review" panel: on one side you see the original document, next to it the documents identified as duplicates. The "Recognized duplicates" tab lists confirmed duplicates; if amaise is unsure, the candidates appear in the "Possible duplicates" tab.
When you hover over a duplicate with your mouse, you have three options:
"Mark as original document" — swap the roles: this document becomes the original.
"Compare with original document" — open the side-by-side comparison.
"This is not a duplicate" — the document returns to the document list as a regular document.
In the "Possible duplicates" tab, you confirm a candidate with "This is a duplicate" or reject it with "This is not a duplicate".
What do I see in the document comparison?
When you compare a document that has been identified as a duplicate with the original document, all detected differences are highlighted in color. This gives you a quick overview of whether it's actually a duplicate or not.
Finding a document hidden as a duplicate via search
Sometimes the exact document you're looking for is hidden as a duplicate behind another document. So that it stays findable, amaise includes the hidden duplicates in every search and filter — whether you search by title, author, recipient, reference, folder, date, or the name of the source file.
When your search or filter matches only a hidden duplicate, the corresponding original document appears in the list with a "Match in duplicate" marker. This keeps the document findable even though the actual match is in the hidden duplicate.
Click the "Match in duplicate" marker to open the duplicate review directly. If the document was wrongly hidden as a duplicate, you can correct that there — as described above.
Note: Without edit rights, you'll still see the marker as a hint, but you can't open the duplicate review from it.
How do I mark documents as duplicates myself?
Step-by-step:
Click the three dots ("More options") on the document you consider the original.
Select "Mark duplicates of this document". The document is selected, and the selection mode starts.
Select all documents that you have identified as duplicates of it.
Click the selection button at the top of the document list and choose "Mark documents as duplicates".
The marked documents disappear behind the original document and can be reviewed there at any time, as described above.
